It’s important to make sure all students expecting a Cambridge Technicals qualification result are on track to receive their result.
To support you with this, we have introduced an estimated completion date based on the date you made your qualification entries (registrations).
Each student expecting a qualification result this summer must have an estimated completion date of the current year, ie ‘Summer 2024’, in the Cambridge Technicals Progress Tracker.
Using the Progress Tracker you can then:
Students without a valid qualification entry (registration) and the required unit achievements will not receive a result by results day.
The Progress Tracker is accessed via our 'single sign-on service', My Cambridge.
The Progress Tracker is updated daily, but please allow 24 hours for any changes to qualification entries or the status of units to be updated. You can see when the data was last updated on the Progress Tracker welcome page.
Students with a qualification result status of ‘Not Eligible’ in the Progress Tracker are at risk of not receiving a qualification result this summer.
You can view students with a result status of ‘Not Eligible’ in the ‘Candidates at risk’ view. Click on the ‘Candidates at risk’ tab or the ‘View candidates’ button in the warning message which appears on the Progress Tracker welcome page and ‘Search Results’ page.
Only students with an estimated completion date of the current year are included in the ‘Candidates at risk’ view. If no students in the current year have been identified as being at risk, the warning message will not show and the ‘Candidates at risk’ tab will be greyed out.
Students will show as not eligible throughout the year until their final claims or exam entries are submitted – after this point there should be no students showing as ‘Not Eligible.’
To support you, from 15 June (the date claims need to be submitted before the final moderation visit), we will start to send a weekly alert if you have any ‘candidates at risk’. This is sent to the email address we hold for your centre on the NCN Register.
You may have students with a ‘Not Eligible’ result status who are no longer expecting a qualification result this summer.
If the student plans to complete in a future year, amend the estimated completion date in the Progress Tracker.
If you are not yet certain of their future plans, you can tick the relevant box shown in the ‘Candidates at risk’ view to acknowledge them. They will remain on your Summer 2024 list of candidates but their details will be greyed out in the ‘Candidates at risk’ view and you will stop receiving email alerts about them.
Reasons for a ‘Not Eligible’ result status are provided in the Progress Tracker. To view the reasons, hover over the ‘Not Eligible’ result status icon – you may see more than one reason listed.
The main reason is also shown in the ‘Candidates at risk’ view.
To view all reasons for all students at risk of not receiving a result, you can download the CSV file in the ‘Candidates at risk’ view.
The reasons shown in the Progress Tracker will help you identify why a student is not eligible to receive their qualification result this summer. In this section we’ve listed the ‘reasons’ and provided a checklist to help you identify the issue.
Mandatory unit not yet achieved – at least one mandatory unit is missing.
Not enough guided learning hours (GLH) – GLH achieved or in progress is less than the total GLH required for the qualification.
Absent from a mandatory examined unit – candidate was absent from at least one mandatory examined unit in the current series.
No activity – no unit achievements, unit claims or examined unit entries.
Use our troubleshooting guidance to help you resolve issues for any ‘at risk’ students. Note: to resolve certain issues, you will need to complete and submit our online missing and incomplete results (MIR) request form, which is available from the post-results area of Interchange.
Only students expecting a qualification result this summer should have an estimated completion date of ‘Summer 2024’.
You may need to amend a student’s estimated completion date if:
Users with the ‘Exams Officer’ role can amend estimated completion dates in the Progress Tracker. See our FAQ for further guidance.
You do not need to let us know about any changes you make to estimated completion dates.
Students must be entered for the correct sized qualification – this is the qualification they’re expecting to receive a result for in Summer 2024.
If a student is entered for the wrong sized qualification, you need to make top-up/move down entries via EDI or Interchange – see ‘Topping up and moving down’.
Claims for moderated units must be submitted via Interchange at least two weeks before any scheduled moderation visit. Claims must be submitted by 15 June in order to have the final moderation visit by 30 June.
If you need to check the details and progress of your moderated unit claims, you can do this in Interchange. For example, to check if a student was included in a claim or the current status of the claim.
To view claims, hover over ‘Cambridge Technicals’ in the Interchange left-hand menu and then click on ‘View claim history’. Your most recent claim should be at the top of the list.
If the final moderation visit has not yet taken place, submit a new claim for the missing student/unit and contact your moderator to let them know.
If the final moderation visit has taken place, submit the online MIR form – select ‘Candidate/unit missed from moderation claim’ from the ‘request type’ drop-down menu. You’ll also need to complete and upload the ‘Candidate/unit missed from moderation claim’ spreadsheet template when submitting the form. Note: A moderation visit/virtual visit may be required.
If the moderation visit has not yet taken place, please email vqprocessing@ocr.org.uk with the details, including the claim number, candidate and unit/grade details.
If the moderation visit has taken place:
Note: A moderation visit/virtual visit may be required.
Where a student is absent from an exam for an acceptable reason, you can submit an application for special consideration absence via the Special Consideration Online portal on Interchange.
If the application is accepted, an assessed grade for the unit(s) will be issued.
See JCQ Guide to the special consideration process for more details. If you have any queries about special consideration, please contact our Special Requirements team at srteam@ocr.org.uk.
If the student isn't eligible for special consideration absence, you can move the student down to a smaller qualification provided they’ve achieved the right combination of units.
If the student was not absent from the exam, complete and submit the online MIR form – select ‘Missing exam result’ from the ‘request type’ drop-down menu. You will also need to upload a copy of your attendance register, seating plan and despatch log when submitting the online form.
A qualification grade will not be awarded if the student hasn’t achieved the minimum grade for one or more of the required units.
Students who do not reach the minimum standard for the unit will be unclassified (‘U’) or ‘Not Achieved’ for Level 2 units (1C).
You can move the student down to a smaller sized qualification if they have achieved the right combination of units for the smaller qualification.
If a moderated unit should have been resubmitted, follow the guidance for ‘Student/unit was missed from a moderation claim’.
When combining units for the chosen qualification or pathway, the rules for the qualification/pathway must be followed. If one or more of a student’s unit results do not count towards the qualification they are entered for, and the student is unable to complete the additional unit(s) required, please contact our Special Requirements team at srteam@ocr.org.uk for advice.
For qualifications with specialist pathways, you will need to check students have a valid combination of units. The qualification entry you make doesn’t tell us which pathway has been selected. This means any issues with a student’s combination of units can’t be highlighted in the Progress Tracker. See our FAQ for a list of qualifications and their pathways.
